Embedding Fonts in Excel

To embed a font in an Excel workbook:

  1. Open the workbook in which you want to embed the font.
  2. On the File tab, click Options.
  3. In the Excel Options dialog box, click Save. In the Save Workbook section, select the Embed fonts in file check box.

If you plan to share this file with users who do not have Office installed on their computers, be sure to also select the Embed only the characters used in this document (best for reducing file size). This option significantly reduces file size because it only saves those characters used in your worksheet.

  1. Click OK. Your changes are saved automatically.

How does this feature work?

When you save a workbook that uses embedded fonts, those fonts are saved along with your workbook. When another user opens your workbook on their computer (provided they have Office installed), they will see all of the same text and formatting that you seeeven if they don't have the same fonts installed as you do.

What about licensing?

Be sure to check the licensing agreement for any fonts that you plan to embed in a workbook. Some fonts may require additional licenses for distribution.

How do I know which fonts are embedded?

(1) On the File tab, click Options.
(2) In the Excel Options dialog box, click Save.
(3) In the Save Workbook section, look for Embed Fonts in File.

(4) If Embed Fonts in File is selected (checked), then all of the fonts used in formulas and data validation lists will be embedded.

(5) If Embed Fonts in File is not selected (not checked), then only certain "web safe" fonts will be embedded.
