Creating a Photo Catalog from a Folder of Photos in Excel

Assuming you have a folder of photos on your computer that you would like to catalog in Excel:

  1. Open Excel and create a new workbook.
  2. In the first column, starting in cell A1, type "File Name".
  3. In the second column, starting in cell B1, type "Date Taken".
  4. In the third column, starting in cell C1, type "Keywords".
  5. In the fourth column, starting in cell D1, type "Comments".
  6. Now we will start filling in our catalog. In cell A2, type the file name of the first photo in your folder (you can find this by opening the photo in Windows Explorer and looking at the file name at the top).
  7. To get the date taken for this photo, we will need to open it. Right-click on the file name in Column A and click "Open With" and then choose "Windows Photo Viewer" (if you don't have Windows Photo Viewer installed, you can download it here. Once it is open, look at the top where it says "Date Taken" and enter that date into Column B next to the corresponding photo.
  8. Now we will add keywords. In Column C next to the photo, start typing in keywords that describe the photo. Separate each keyword with a comma.
  9. Finally, add any comments about the photo into Column D.
  10. Repeat steps 5-8 for each photo in your folder.

And that's it! You now have a basic catalog of your photos that you can refer back to later.

(Note: If you want to be able to sort your photos by date taken or keywords, you will need to format those columns as "Date" or "Text", respectively. To do this, click on the column header for each column and then go to Format > Cells > Number and choose either "Date" or "Text".)
